Summary:
As an administrative assistant you will play a vital role in supporting the daily operations of a team. You will be responsible for providing administrative assistance to executives and staff members, ensuring efficient workflow and contributing to the overall success of the organization.
Responsibilities:
- Administrative Support: Provide general administrative support such as answering phones, managing correspondence, scheduling meetings, and handling travel arrangements for executives and team members.
- Document Management: Organize and maintain physical and electronic files, records, and documents. Ensure accuracy and confidentiality in handling sensitive information.
- Client Interaction: Serve as a point of contact for clients, investors, and other external stakeholders. Assist in coordinating client meetings, preparing materials, and ensuring a high level of professionalism in all interactions.
- Data Entry and Reporting: Input data into spreadsheets, databases, and other software systems. Generate reports, presentations, and financial documents as needed.
- Office Management: Assist in maintaining office supplies, equipment, and facilities. Coordinate with vendors and service providers to ensure a well-functioning office environment.
- Project Support: Provide administrative support for special projects, including research, data analysis, and coordination of project activities.
- Team Collaboration: Collaborate effectively with colleagues across departments to facilitate communication and streamline processes. Support teamwork and contribute to a positive work environment.
Qualifications:
- High school diploma or equivalent; associate's or bachelor's degree preferred.
- Proven experience as an administrative assistant or similar role, preferably in the finance or investment banking industry.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
- Excellent communication skills, both verbal and written.
- Strong organizational skills with the ability to prioritize tasks and manage time effectively.
- Attention to detail and a high level of accuracy in all work.
- Discretion and professionalism in handling confidential information.
- Ability to work independently with minimal supervision and as part of a team.
- Flexibility and adaptability to changing priorities and deadlines.
